What is Submio?

Submio is a candidate submission portal for independent recruiters. You build a submission — resume, scorecard, video clips, evaluation — and share a single public link with the hiring manager. They review without logging in. You see their reactions on your dashboard in real time. That is the whole product.

Who is Submio for?

Independent recruiters and small agencies who place candidates directly with hiring managers. If your job involves getting busy decision-makers to actually look at the people you find, Submio is for you. If you work inside a large enterprise ATS or you are a sourcing tool, Submio is not for you.

Do hiring managers need to sign up?

No. The HM opens a public review URL — no account, no login, no install. They react inside the page. Your dashboard updates within seconds. The whole HM-side experience is designed for someone who has thirty seconds and no patience for new logins.

Is Submio an ATS?

No. There is no requisition system, sequencer, sourcing engine, or compliance dashboard. We are not trying to replace your CRM or sourcing tools. We replace the shared Google Drive folders and the back-and-forth WhatsApps that fill the moment between 'I think this candidate is good' and 'my client has decided.'

Pricing

How much does it cost?

Free has 1 active role and unlimited submissions on it — no credit card required. Pro is $39 / month flat for unlimited roles ($30/mo on annual — save $108). Team is $59 per recruiter / month for agencies (up to 10 seats, $45/mo on annual) and is on a waitlist for Q3 2026; founding-agency pricing is 20% off for life. Every tier ships every feature.

Is the Free plan really free forever?

Yes. No credit card. No 14-day countdown. The cap is 1 active role with unlimited submissions on it — designed so you can run your first deal end-to-end before upgrading. Hire a candidate or archive the role, and the slot frees up.

What counts as an 'active role'?

A role that is not archived. Hiring a candidate or closing a role drops it from the active count, freeing up a slot.

Can I cancel?

Anytime from Settings → Billing. Upgrades take effect immediately and are prorated. Downgrades take effect at the end of your current billing period — you keep paid features until then.

Do you give non-profit / education discounts?

Email us. We are small and informal — there is no policy page, but if you tell us what you are working on we will usually find a way.

Workflow

How does the email-the-candidate flow work?

When the HM clicks 'Email candidate' on the review page, their default mail client opens with a prefilled draft — CC'd to you. The email sends from the HM's real inbox. Future replies live there too, naturally. We never store credentials for the HM's email and we don't proxy their messages.

How do AI video clips from screening calls work?

On any submission, click 'Send Notetaker' and paste the meeting URL (Zoom, Google Meet, Microsoft Teams, or Webex). The Submio Notetaker joins the meeting, announces itself, captures audio + video, and disappears when the call ends. When the transcript is ready, Submio reads it against the role's scorecard and proposes the top 3 candidate moments — with timestamps and a one-line rationale for each. You approve, edit the label, or reject each clip before it attaches to the submission and renders on the public HM review page. Nothing auto-publishes. Available on every plan including Free. Does the candidate know they are being recorded?

Yes. The Submio Notetaker announces itself when it joins the meeting. Standard practice is to give the candidate a heads-up at the start of the call as well — most recruiters do this before any recording tool is involved.

Where does the data live?

On Supabase infrastructure in the US region. Submissions, candidate records, and attachments are scoped to your account — only you (and other members of your workspace, on Team) can see them. Hiring managers see only what is on the review page you shared.

How do you handle resumes and clips?

Resumes are stored as PDF blobs. Clips are uploaded to object storage and served via short-lived signed URLs. Both are scoped behind your account and behind the review token; neither is publicly indexable.

What happens if I share a link by accident?

Archive the submission from the role view. The review URL stops working immediately. Anyone who already saw the page no longer has access.

Can I put my own logo on the review page hiring managers see?

Yes, on Pro. Open Settings → Branding, upload your logo (PNG, SVG, or JPEG, ≤ 2MB), pick an accent color, set a display name and optional tagline. The Submio mark on every review link you share is replaced by your brand. A small "Powered by Submio" line stays in the footer. Free plan can preview values but does not render them on review pages — that's the cleanest paid-tier upgrade trigger we have. Full white-label with custom subdomain ships with Team (Q3 2026 waitlist).

I'm already on an agency tool like Bullhorn, Atlas, or Vincere. Why would I add Submio?

Three reasons recruiters who already run an agency platform still bolt Submio on. (1) AI video clips from screening calls — Submio sends the Submio Notetaker to Zoom/Meet/Teams/Webex, extracts the top three candidate moments mapped to the role scorecard, recruiter approves before they ship. Most agency tools don't have a native equivalent in 2026. (2) The hiring-manager review page is public and no-login — your HM clicks the link, reacts, moves stages, emails the candidate from their own inbox. Agency-tool client portals typically require an account or a shared password. (3) $39/mo flat, no yearly contract — you can run Submio alongside your existing stack as a focused workflow add-on, not a system-of-record replacement. If your agency tool already covers the rest of your workflow, Submio doesn't try to displace it; it slots in where the clip + public-HM-link gap is.

Account & security

Can I delete my account?

Yes. Settings → Danger Zone has a delete-account flow. We hard-delete your accounts, clients, roles, submissions, and uploaded files within 30 days. We retain a minimal billing record for tax / audit purposes.

Do you offer SSO?

Not in V1. Google sign-in arrives with the first Team-tier deployment. Enterprise SSO (Okta, Azure) is on the roadmap once we have agency customers asking for it.

Have you been audited?

We have not pursued SOC 2 yet — we are too small to be a meaningful target and we do not handle protected health or financial data. We will pursue it once we have customers who require it. In the meantime, our security posture is documented in the Privacy Policy and the security email is security@gosubmio.com.

How do you handle GDPR / candidate data?

See the Privacy Policy. Short version: candidate data is held on the recruiter's behalf as a data processor. We honour data subject access and deletion requests. Email privacy@gosubmio.com and we will route appropriately.
